A simple operating guide for vendors using the Shopify and Clover inventory sync service.

Shopify to Clover

When inventory changes in Shopify, the service updates Clover in real time.

Example: if Shopify sells 1 item, Clover stock count decreases by 1.

Clover to Shopify

When inventory changes in Clover, the service updates Shopify with about a five-minute delay.

Example: if an item is sold in-store through Clover, Shopify should reflect the change within about 5 minutes.

Catalog Flow

Adding and removing items

Add new items in Shopify first. Use Shopify archive and unarchive for items that should be removed or restored.

Do not use Shopify batch operations for add, archive, unarchive, or delete workflows.

Daily Rules For Vendors

Use Shopify as the main product system

Do

  • Add new products in Shopify only.
  • Use Shopify archive and unarchive to manage product status.
  • Search by SKU in Clover whenever possible during checkout.
  • Report suspicious inventory issues with screenshots and timestamps.

Do Not

  • Add new products directly in Clover.
  • Change SKU in Clover.
  • Change product code or barcode in Clover.
  • Use bulk or batch status updates for archive or unarchive actions.
  • Rely on product-name-only checkout searches when SKU is available.

What You Can Edit In Clover

Allowed changes

  • Product name
  • Price

SKU and barcode-style identity fields are used to match the same item between Shopify and Clover. If they are changed, the systems may no longer know that the two items are the same product.

Deleting Items In Clover

Safe handling

Deleting an item from Clover is allowed. If the item should be sold again later, add or restore it from Shopify using the normal process instead of creating a new Clover-only item.

When To Report A Problem

  • What you see in Clover
  • Time when the issue happened
  • Screenshot if available
